Tax and VAT on your GuavaHost invoice

Whether tax is added to your GuavaHost invoice depends on the country on your account, and this guide shows you where to find it on an invoice and how to get a business tax number recorded.

Why tax might appear on your bill

Game server hosting is a digital service, and in a lot of countries a digital service sold to someone living there has to carry local consumption tax. That tax has different names depending on where you are: VAT (value added tax) in the UK and across the EU, GST (goods and services tax) in Australia, New Zealand and Canada, sales tax in parts of the United States, and so on. It is not a GuavaHost fee. When it is charged, it is collected on the invoice and passed on to the relevant tax authority.

So two people ordering the same server on the same day can end up with different totals, purely because of where they live. That is normal and it is not a pricing difference.

If your invoice has no tax line on it at all, no tax was applied to that order. There is nothing missing and nothing you need to do.

What decides it

One thing: the country recorded on your GuavaHost account. Our billing system looks at that country when it creates the invoice and applies whatever rule fits it.

Your country lives under Account settings in your control panel at customer.guavahost.com, next to your name and email. It is worth a look if you have moved, because an out of date country can mean an invoice taxed under the wrong rules, and that is much easier to fix before the invoice exists than after.

Your currency is a separate thing and it does not decide your tax. Being billed in euros does not mean EU VAT applies, and paying in US dollars does not exempt you from anything. Which currency will I be charged in? covers how currency is picked, and it is set from your country too, which is why the two get confused.

Finding the tax on an invoice

Every invoice is itemised, so you can see exactly what was charged and what, if anything, was added on top.

  1. Sign in at customer.guavahost.com.
  2. Open Billing & invoices in the menu.
  3. Click View invoice on the invoice you want.
  4. Read down the line items. The server and any add-ons are listed first, then the subtotal, then any tax line, then the total.
  5. Click Download PDF to save a copy. The PDF is a proper itemised invoice and it carries the same breakdown, which is what an accountant or an expense system will want.

Paid invoices stay in Billing & invoices permanently, so your whole history is there whenever you need to pull a year's worth of receipts. Managing invoices and payment methods walks through the rest of that page, including the filters and the search box for finding one invoice among many.

Adding a business tax number

If you are ordering as a business rather than as a person, you may need your company's tax number (a VAT number, an ABN, a GST number, whatever your country issues) printed on the invoice, and in some places having a valid one on file changes how the invoice is taxed.

There is no field for this in the control panel. Contact support from guavahost.com/support or ask in our Discord at discord.gg/GuavaHost, and give us:

  • the registered business name you want on the invoice;
  • the tax number itself, exactly as it is issued, including the country prefix if it has one;
  • the business address, if it is different from what is on your account;
  • the country that number is registered in.

Ask before you place the order where you can. Once an invoice has been generated and paid, correcting the entity and the tax treatment on it is a bigger job than getting it right the first time, and in some cases the invoice has to be reissued.

If the tax on an invoice looks wrong

Do not guess, and do not simply leave the invoice unpaid while you work it out, because an unpaid invoice eventually suspends the server regardless of why it went unpaid. What happens if you miss a payment explains that sequence.

Instead, open a ticket at guavahost.com/support with the invoice number from Billing & invoices and a line on what you expected. Useful things to mention:

  • the country you actually live or trade in, if it differs from your account;
  • a business tax number you hold but have not given us;
  • whether a previous invoice on the same account was taxed differently.

Our team is online 24/7 and can look at the real line items on your account, which is the only way to answer an account specific tax question properly. We cannot give tax advice about your own situation, and nobody on a help page can tell you what rate should apply to you, so if the stakes are high, your accountant is the right call.

A note on what you can expect from this page

We deliberately do not publish rates or country by country rules here. They change, they differ by region within a country, and a stale number on a help page is worse than no number. The invoice itself is always the authority: it shows the exact amount applied to your order at the time you were charged, and the PDF is the document to keep.

For what the server itself costs before any tax, see /pricing, which prices every plan in your selected currency.

Common questions

Does the price I see on the site include tax?

The prices on guavahost.com and in checkout are the base price of the plan in your selected currency. If tax applies to your country, it is added when the invoice is created, so check the order summary and the payment button for the final amount before you pay.

Will my renewal invoices be taxed the same way as my first one?

Normally yes, because they are created against the same account and the same country. If you change the country under Account settings, or give us a business tax number, later invoices can come out differently from earlier ones on the same server.

Can I get a tax invoice for an order I already paid?

Yes. Open the invoice in Billing & invoices and click Download PDF. It is the itemised invoice for that payment, including any tax line, and you can download it as many times as you like.

Can GuavaHost refund tax that was charged by mistake?

Contact support with the invoice number and explain what went wrong. The team can review the invoice against your account details and tell you what can be corrected or reissued. If you are inside the first two days of a new order, the 48-hour money-back guarantee may be the simpler route.
